Located at 495 Water Street, St. John’s, NL, The Dock offers a modern, fully equipped boardroom designed for productivity and collaboration. With seating for up to 12 guests, it’s the perfect setting for meetings, presentations, and team sessions—complete with all the contemporary amenities you need to work seamlessly

Upon booking the room, the guest is required to make full payment for the room in advance. This payment confirms the booking and secures the room for the selected dates. Cancellation Policy is listed below.

Boardroom Guidelines & Amenities

Our boardroom is designed for smooth, stress-free meetings. To help make your experience seamless, here are a few guidelines

1. Access & Security

Rental hours: 9:00 AM – 4:00 PM
Located on the second floor, Room 206.
Access: A temporary entry code will be provided for your booking and securely removed afterward.
Support: Our Genesis team will be on-site and happy to assist if needed.
In case of an emergency, the emergency plan will be posted in the room.

2. Parking & Transportation

Limited on-site parking is available for groups of 6–10.
For larger groups, we kindly ask that you arrange off-site parking in advance.
Convenient paid parking is available along Water Street.
We also encourage the use of public transit or ridesharing for added ease.

3. Cleaning & Maintenance

Standard cleaning is included with every rental.
Please note that an additional $50 cleaning fee may apply if the space is left excessively untidy.
We kindly ask that the boardroom be returned to its original setup after use.
Renters are responsible for any damages that occur during their booking.

4. Usage Guidelines

The boardroom is reserved for professional purposes such as meetings, workshops, and presentations.
Please maintain a respectful environment—disruptive or inappropriate behavior is not permitted. 
Code of Conduct will need to be signed before occuping the space. 
Food and non-alcoholic beverages are welcome. 


5. Office Equipment & Facilities

Complimentary Coffee, Wi-Fi, TV, flip chart, water cooler, owl and whiteboard are included with your rental.
Tech Support will be onsite.
Requests for additional equipment are welcome—please let us know in advance so we can accommodate your needs.
Kindly ensure all supplies (markers,etc.) are returned after use.

6. Liability & Compliance

Please keep personal belongings secure—The Dock is not responsible for lost or stolen items.
To ensure a positive environment for all, The Dock reserves the right to deny access or remove clients who violate our policies, without refund.

Terms and Conditions – Boardroom Rental
Please review these Terms and Conditions for The Dock by Genesis boardroom rental. The Dock by Genesis (the “Provider”) reserves the right to update the Terms and Conditions of this Agreement at any time without notice.

Use of Premises
The Renter agrees to use the boardroom solely for professional meetings, presentations, and related activities. The Renter shall comply with all applicable laws, building regulations, and any rules or guidelines provided by the Provider.

Payment 
Full Payment is due when booking the  scheduled rental. The Provider reserves the right to cancel any booking for which payment is not received in full.

Cancellation and Refunds
Cancellations made more than 7 days prior to the booking date will receive a full refund.
Cancellations made less than 7 days prior to the booking date will receive a full refund, less $100.00 cancellation fee.
In the event of Provider-initiated cancellation, all pre-paid amounts will be refunded.

Indemnification
To the fullest extent permitted by law, the Renter shall indemnify, defend, and hold harmless The Dock by Genesis, Genesis Group Inc., and their officers, employees, agents, consultants, partners, and contractors from and against any and all losses, costs, penalties, fines, damages, claims, or liabilities (including legal fees) arising from the Renter’s use of the boardroom, including any damages to the Premises or injury to persons.

Termination of Rental
The Provider reserves the right to terminate any booking at any time, with immediate effect and without prior notice, especially in cases of non-payment, misuse of the Premises, or violation of rules. In such instances, any pre-paid amounts for unused periods will be refunded on a prorated basis, less any pending charges.

Renter Agreement Acceptance
By booking and using the boardroom, the Renter agrees to be bound by these Terms and Conditions. If the Renter is representing an organization, they bind the organization to this agreement.
